General Information:

Our advertising department will contact you to discuss your advertising or sponsorship placement. We have two publications: the VOICE Experience Workbook and the VOICE Magazine/Program. Advertising in the VOICE Experience Workbook is limited to presenters only, except for the back cover (C4) and front cover premiere sponsor logo.
The following pertains only to the VOICE Program, in which advertising may be placed by any person or business in a voiceover related field. You do not need to be an attendee of the VOICE conference to be an advertiser or sponsor of a VOICE event.
Policies:
All advertising space, sponsorships, and bag insertion placements are sold on a non-exclusive basis. Premier and Banquet Sponsorships are limited to three and there will only be one Premier Sponsor in any given area of specialization. Exclusive sponsorships are available in most areas of specialization. Please call for details. An area of specialization is defined as a specific product type or service offered as a category for sponsorship. Exclusivity as a Premier Sponsor shall not limit competing businesses from participating at a lower level of sponsorship, or with any advertising, bag insertions, or other promotions that might be offered by VOICE.
Mechanical Specifications:
All advertising layouts must be submitted as fully formatted electronic files (color or grayscale) at a minimum of 300 dpi resolution. Please do not send .bmp, or .wmf files. We reserve the right to re-size ad layouts as needed to fit our publication format
- Color ad layouts should be designed in CMYK for best color replication accuracy.
- Ad layouts may be border-less or boxed border in color or grayscale. Please deliver as you would like to see published. We reserve the right to add or remover borders. If you want your ad to have a border, please include it in your layout.
- Full page color layouts may be boxed border or full page with bleed.
- Full page ads should be sent in PDF format, including layers, and with fonts embedded.
- All other ad sizes and logos should be sent in .png, .jpg, or .tif file format (.png preferred).
- If you are scanning camera-ready artwork or a business card, please scan and crop to actual size and set image at a minimum of 300dpi before creating an electronic file.
- Presenter’s advertising in the VOICE Experience Workbook is grayscale, with the exception of the workbook back cover, which is in 4-color.
- We will not be responsible for the quality of any color submissions that must be converted to B/W or gray scale or for inaccurate color rendition due to an ad layout designed in RGB format.
All advertising layouts must be delivered in their actual size and in the final form you wish for them to appear. Layout and design services are available, if necessary, at additional charge.
Layout Dimensions:
- Full page inside (FPI), Front/Back inside (FPC2, FPC3), Back Cover (FPC4) - Full-page advertising may be designed for boxed borders or for full bleed.
- All full-page color or grayscale boxed border ads must allow for margins of .5” top and bottom and .75” left and right.
- Color or Grayscale, boxed, no bleed: 10 inches high X 7.5 inches wide
- All full-page color ads with full bleed must allow .125” on all edges for color bleed.
- Color with full bleed: Layout dimensions - 11.25 inches high X 8.75 inches wide
- 1/2 page (1/2V) - (vertical): 9.75 inches high X 3.5 inches wide
- 1/2 page (1/2H)- (horizontal): 4.75 high X 7 inches wide
- 1/3 page (1/3H) - (horizontal only): 3.25 inches high X 7 inches wide
- 1/4 page (1/4V) - (vertical only): 4.75 inches high X 3.25 inches wide
- Business Card Ad (BCH) - (horizontal): Color or Grayscale: 2 inches high X 3.25 inches wide
- Business Card Ad (BCV) - (vertical): Color or Grayscale: 3.25 inches high X 2 inches wide
- Banner (BAN)- (horizontal only): 1.75 inches high X 8.5 inches wide (add .125” on 3 sides for bleed)

DETAILS, DEADLINES, AND OTHER SUCH STUFF:
Deadlines:
- Sponsorships: Sponsorships must be confirmed no later than 60 days prior to event start date.
- Print Ads: Placement deadline for reserving ad space - 60 days prior to event
- Layout or copy changes will be accepted up to the submission deadline 60 days prior to the event start date. Changes or corrections submitted after the submission deadline will not be accepted - NO EXCEPTIONS.
- Bag insertions must be received no later than 30 days prior to event.
- Advertiser/Sponsor is responsible for shipping print materials or promotional items ready to be inserted into show bags.

Electronic format graphic layout for web site and e-mail promotions must be received by no later than 90 days prior to event start. Layouts or copy received after deadline will be subject to cancellation of reservation. There are no refunds if items after submission deadlines. We cannot guarantee placement of items received after deadlines.
Production & Graphic Design Assistance:
We can provide graphic design services on an as-needed basis for an additional fee. Please call us at 858 484-0220 if you need help with your ad design or layout. Fee will vary depending on your needs.
Delivery:
- All text and graphics submissions should be sent via e-mail to: info@voice2010.com.
- Image files 3MB or smaller can be sent via e-mail.
- Full page or graphic images larger than 3MB may be sent using an on-line service for sending large files. We recommend www.transferbigfiles.com.
- Advertising graphics must be received by no later than 60 days prior to event start. We cannot guarantee placement if your ad layout arrives late.
- Bag insertion items must be received by no later than 30 days prior to event start to be included in bags. Advertiser is responsible for design, printing, production, and delivery of insertion items to the address indicated on the insertion agreement. Insertion items received after July 15 will be delivered to the event venue and returned to the vendor. It is the responsibility of the vendor to deal with distribution or disposal of returned insertion items.
Payment Options - Advertising and Sponsorship:
- All advertising and sponsorship fees must be paid in full at the time of reservation for ad space. We do not offer payment plans for advertising placement.
- A confirmation Insertion Order will be e-mailed or Fax’d to you. Payment must accompany the return of your signed Insertion Order.
- Payment may be made in any of the following ways:
- Via PayPal - “send money” to paypalorder@voiceacting.com. Be sure to note the purpose of your payment and your VOICE placement reference.
- Send check for the full amount to VOICE, 13639 Freeport Rd., San Diego, CA 92129. Make your check payable to VOICE-VoiceActing LLC.
- Credit Card - provide your credit card number at the time of placement or call 858 484-0220.
- A nonrefundable $50 placement fee will apply to all advertising orders.
- Advertising placements canceled more than 60 days prior to event start shall receive a refund, less the $50 nonrefundable placement fee. Cancellations less than 60 days prior to event start date, or after stated deadlines for delivery, will not be honored.
IMPORTANT FINE PRINT:
A completed PayPal payment, a signed sponsorship or exhibitor agreement, or a signed advertising Insertion Order is a guarantee of placement in the VOICE event Magazine/Program, Show Bag, and other opportunities as specified on this web site and in the Insertion Order. Inclusion is conditional upon delivery of graphics and insertion materials by the stated deadlines. It is understood that there are no refunds for advertising placements except as stated on this web page. VOICE shall not be responsible for any materials that arrive late or in a condition that does not meet the required specifications. It is further understood that it is the responsibility of the advertiser, sponsor, or vendor to cover the costs of any necessary design, shipping, transportation, tuition, meals, display setup, and accommodations, unless specifically included as part of a sponsorship or vendor package.
